Job Description

USAA Real Estate Company has an outstanding opportunity for an executive assistant to be a part of the dynamic Global Investors Group. This individual will work cohesively with team members to provide them with general administrative support. The work flow will fluctuate day to day, and the degree of importance of each project will vary from the routine tasks to the highest level of urgency projects. It will be the responsibility of this individual to recognize the needs of the department and take the initiative to ensure the work is being processed in an efficient and productive manner.  This position requires the ability to multi-task and meet deadlines.  The ideal candidate will be friendly, proactive, organized and possess advanced assistant skills with a team player attitude.


Essential Duties: 


  • Manage calendars for multiple team members including scheduling internal and external meetings, arranging travel logistics and tracking project deadlines.
  • Heavy travel scheduling for domestic and international trips to include arranging and confirming detailed business itineraries, airline reservations, hotel accommodations, car reservations, etc. 
  • Assist with time management and organization of the team.
  • Receive and screen telephone calls to free team members from unnecessary delay and detail. Take and relay messages, direct calls to appropriate persons and place calls as requested.  Maintain up-to-date investor contact lists and responsibilities in multiple databases.
  • Process and track expense reports and reimbursements for the team.
  • Prepare and bind presentation books and assure prompt delivery. Duties may include editing and creating presentation materials and other documents as assigned.
  • When necessary, review incoming and outgoing mail/e-mails for appointments or meeting dates, priority, follow up, accuracy and redirection.  Respond to incoming mail/e-mails as authorized.
  • Maintain a list of documents distributed to potential investors for each fund and/or separate account initiative.
  • Assisting with quarterly reports for submission to investors.  Provide departmental support to include researching companies for prospecting purposes, and assisting with the due diligence process.
  • Interface with both internal and external professionals at every level including many senior level partners, institutions and consultants.
  • Operate using a great deal of initiative.
  • Support routine daily operational and administrative needs of the department.
  • Additional duties as assigned.

Minimum Qualifications:


  • Must have 5+ years of Administrative Assistant experience supporting executive level management and their teams.
  • Bachelor’s degree or equivalent combination of experience, education and training.
  • Effective verbal and written communication skills.
  • Commercial real estate experience is preferred.
  • Heavy travel scheduling for domestic and international travel.
  • Advanced proficiency in MS Suite (Word, Excel, Power Point, Outlook, Adobe). Other software skills a plus, such as Visio, InDesign, Salesforce, WatchDox.
  • Prior experience with document management software, such as LiveLink.
  • Strong organizational skills, time management skills, and attention to detail.
  • Ability to successfully manage multiple deadlines and requests simultaneously.
  • Ability to work in a fast-paced, demanding work environment.
  • Must be flexible, polished, professional, and personable and enjoy interacting with internal and external associates and clients.
  • Qualifications may warrant placement in a different job level.

Physical Requirements

  • Regularly required to sit for extended periods of time; frequently required to stand, walk, and use business equipment daily such as computer, copier, fax, telephone, etc.; frequently required to reach overhead, bend, and lift objects of up to 25 lbs.
  • Ability to handle stress caused by multiple priorities, and other unforeseen situations associated with the organization.
  • Eyesight and hearing must be correctable to standard level.
